May 9, 2011 UPDATE

Great Job Coral Trace! Residents are responding to Community Inspections and people are cleaning up.

The Easter egg hunt held on Saturday April 16th was fun for all. Kids enjoyed hot dogs and chips while hunting for candy filled eggs. Thank you to our "Treasurer" Easter Bunny and to his wife for the wonderful photo session. Decision time!Your secretary Chris, is meeting with a maintenance company on May 10th to secure the glass doors to the Clubhouse. It is the HOA's top priority to open it to the community.  Clear Waters Inc. has also given a quote for the lights on the ponds which was a topic at the April HOA meeting. More updates coming soon.

Communication is the Key

Whether you are running a business, a household, or a Home Owners Association, communication must be a top priority.  As a board, from the beginning of our tenure, we decided to make improvements in this category.

The first communication project we undertook was in actively trying to complete our email contact list.  While the monthly news letter was a good means of communicating, it simply was not the most cost effective and efficient way to communicate to hundreds of home owners.  The email list allows us to send out weekly, bi-weekly, or monthly updates (news letters) as events occur in the community.  For example, if a main water line breaks or the pump is down for some reason, we assume you would want to know ASAP and not wait until a meeting or monthly news letter to find out there was a situation.

Chris, our secretary, has taken on the task of creating these updates.  It is the responsibility of the board members and the home owners of Coral Trace to provide Chris with information pertinent to the updates/news letters.

With all of that said, I realize not everybody wants to give out their email address.  So it is for this reason that I began toying with the idea of posting the updates/news letters on a website for everyone to see.  I started reposting Chris’s updates on the following website: http://www.coraltracehoa.blogspot.com/.  On this site, which is now live, I have also posted a financial graph showing 2010 vs 2011 so far.  I will continue to update this graph on a monthly basis.

The website also allows for you to comment on each of the posts.  If you have a Gmail account (Google Mail) you are already able to comment, you just have to log in.  If you do not, you’ll have to create a log in which can be done very easily.  I realize not everybody in this community is as computer savvy as I am, so please feel free to sent an email to the coral trace email address coraltracehoa@gmail.comif you need help and I will gladly get you set up.

In addition to the graph currently posted, I plan to meet with Maggie from Leland Management so we may present even more financial data to the community.  We do provide you with a financial report each and every month, however I personally want more.  I want charts, graphs, month vs. month and year vs. year analysis which shows our progress for better or worse.

As I stated, communication is the key.  There is a lot going on in Coral Trace and there is a lot of information floating around that must be conveyed.  With improvements like the email updates and website postings, we are working hard to get up to date information out to all of you very quickly.  In additional to the streamlined communication, this process is also saving us over $150 per month in stamp, paper, and printing fees.

POOL IS TEMPORARILY CLOSED!Connelly's Pool Maintenance & Landscaping reports that they arrived at the Clubhouse to
  see what the problem was and noticed the pool pack was flooded.  They found the computer is not working, and would not let the pump come on. No date is set at this time, but there is a tech from Mitsubishi coming to take a look at the computer.  The pool has to stay closed until further notice due to the filter pump is not working. The community will be updated when the tech is going to Coral Trace to look at the computer.


Aligator Sightings! There have been sightings of another alligator in the ponds. The "alligator guy" has been asked to to come out to take a look.  He does this at night,  so if you see a spot light out by the lakes, it is just him.
 
UPDATE TO ALL THE GYM USERS...THE BOARD HAS AN ESTIMATE FROM LLOYD'S EXERCISE EQUIPMENT TO MAKE REPAIRS TO THE TREADMILL, ELLIPTICAL MACHINE AND EQUIPMENT WITH CABLES. WE WILL KEEP YOU POSTED ON WHEN REPAIRS HAVE BEEN COMPLETED.  

E-NEWS UPDATES WILL BE SENT OUT ON A "NEED TO KNOW BASIS," USUALLY ON MONDAYS. SOMETIMES THERE ISN'T MUCH TO REPORT. WE HOPE TO SEE MORE IN ATTENDANCE AT THE NEXT HOA MEETING, SO YOU CAN SHARE YOUR NEWS AND SUGGESTIONS WITH US. THE NEXT MEETING IS WEDNESDAY MAY 11TH @ 7PM. SEE YOU AT THE CLUBHOUSE!

NEW SUMMER GATE HOURS WILL BE ANNOUNCED. CHECK YOUR MAILBOX FOR A LETTER FROM LELAND MANAGEMENT REFERENCE TO THE GATE CODE CHANGES AND HOW TO ALLOW GUESTS TO ENTER. 
THANK YOU TO THOSE WHO LET THE BOARD KNOW ABOUT THE EXIT GATE MALFUNCTION LAST WEEK. IT WAS FIXED ON MAY 5 WITH MULTIPLE RESETS  FROM THE LELAND MANAGEMENT.  CORAL TRACE WAS NOT CHARGED FOR THIS INSTANCE. 


Only 14 in attendance to last months HOA meeting. Only 50 Coral Trace residents opened last months email. Please help us to spread the word that the board wants to communicate with you.  New neighbor moved in? Help us get their contact information!
